CIES is committed to making the Annual Meeting welcoming and accessible for all attendees.

The 2025 Annual Meeting in Chicago on March 22-26 will feature a designated Quiet Room for persons who desire a quiet place to relax or to prepare for a presentation. Please respect the purpose of this quiet space by planning personal meetings elsewhere.

CIES will also be offering subsidized rates for on-site childcare for meeting registrants. In partnership with the conference hotel, there are designated gender-inclusive restrooms located on the 6th floor near the Grant Park Parlor and on the 4th floor off the Red Lacquer room. The restroom facilities are available for use by all persons, regardless of the gender identity. The facilities will be marked on the door. Please help make these facilities and this meeting an inclusive space by respecting the rights of all genders.

In observation of Ramadan coffee, tea and soft drinks will be available for our members who are fasting. Time and place to be announced as we get closer to the conference date.

Meditation or prayer: CIES 2025 will have a dedicated room to go for personal meditation and prayer. Please respect the rights of others when using this space. Place and times to become available closer to the conference date.

Sign language interpretation and captioning will be provided for selected other major sessions, including the Opening Plenary, the Presidential Address, the Kneller lecture and other keynote lectures.

ACCESSIBILITY

The Palmer House Hilton prides itself for being proactive in recognizing the needs and challenges of its disabled guests and customers. The 77 meeting rooms and over 100,000 square feet of meeting and exhibit space all meet the guidelines of the American Disability Act and as such provide accessibility for all.

CIES is committed to maintaining an inclusive and accessible environment for all of its conferences, meetings, governance, and other assemblies that occur in person, by telephone, or through electronic communication (collectively referred to as “CIES Related Activities”). Thus, ensuring that all members and participants have full access to all CIES Related Activities is critical to our mission, and in compliance with applicable federal, state, and local locals, including, but not limited to, the Americans With Disabilities Act (“ADA”), as amended.

For any CIES Related Activities, participants who require accommodations must make all efforts to submit a written request least thirty (30) days prior to the CIES Related Activity. This will provide the organizers of the CIES Related Activity to review the request, engage in an interactive process, and provide all reasonable accommodations that do not cause an undue burden on CIES.

Such request shall be submitted in writing to [email protected] and include the following components:
· Requestor’s name;
· Requestor’s contact information;
· Information about the CIES Related Activities the requestor will be attending;
· Identification as a person with a disability, including the nature of the disability; and
· Identification of requested accommodations.

Once received, CIES will review the request as quickly as possible and communicate with the requestor regarding what accommodations can be provided.
With respect to virtual sessions, the automatic closed captioning in Zoom can be used. If other accommodations are required, the conference team can be contacted as provided above.
